Hub International Administrative Assistant - Compliance in Woodbridge, Ontario

We are looking for a highly motivated individual that is multi task orientated and computer proficient. In this role, you will be responsible for providing administrative support to ensure efficient operation of the Compliance team. Primary duties of this position include support of a busy team in e-mail and document management, audit reports, data entry, presentation and project work.

Principle Duties and Responsibilities (Essential Functions)

Responsible for supporting insurance compliance department functions and projects including Broker Suitability and Business Conduct, Data Analysis and Audit, Complaint Management and development of Trending Reports relating to Business Conduct.

  • Review regulatory enforcement sites to identify information concerning the activities of brokers contracted with HUB.Order and review credit and industry background checks.Review broker accounts and escalate areas of concern relating to poor credit, incomplete or expired compliance documents, regulatory enforcement, conduct activities and sales trending.Document and escalate any action required relating to credit, conduct or compliance issues based on facts gathered from Insurance Councils, Carrier Head Offices or other information obtained by HUB.

  • Report preparation and analyse data pertaining to HUB broker monitoring process and trending reviews for insurance and investment activities.Maintain internal reporting of information collected and issues that are escalated.

  • Manage HUB Financial broker termination process, including preparing letters, system documentation and notification to relevant parties.

  • Coordinate and report on the progress of client complaints through to completion.Assist with collection of data, document management, communications and follow ups.

  • Collaborate with team members to identify efficiencies with the information obtained from Insurers and HUB systems to produce quality and effective reporting of sales and business conduct trends pertaining to audit and monitoring of insurance brokers.

  • Assist with and coordinate project work as assigned.

Knowledge, Skills and Abilities

· Excellent working knowledge of Microsoft Office (excel, outlook, word & power point)

· Detail oriented and good organizational skills

· Good communication skills

· Good project management skills

· Ability to apply common sense thinking

· Strong sense of confidentiality

· 1-3 years office experience

· Life insurance background is an asset.

· Experience with WealthServ or other industry back-office systems is an asset

· College diploma or equivalent preferred

· Bilingual in French and English is an asset
