Brokerage Administrative Assistant Windsor, ON

The Role: We are seeking one (1) Brokerage Administrative Assistant to join our team.

EasyInsure is looking for a full time Brokerage Administrative Assistant to join our growing head office team in Windsor, ON. This individual will be responsible for working with our new and existing clients providing excellent customer service and outstanding value in every transaction. This is an ideal role for a strong team player who is detailed oriented, enjoys working with people and a commitment to deliver results on required deadlines. This role will require a flexible individual to adapt to the growth of the business.

Responsibilities

  • Answer calls, assist customer and/or forward to appropriate person.

  • Work with department Manager to organize all compliance procedures in accordance with FSRA and ensure documents, manuals, licenses, E&O coverage are current and up to date.

  • Review, sort, and forward incoming general emails to the department.

  • Collect, sort, and route incoming faxes.

  • Handle incoming and outgoing courier and regular mail.

  • Scanning and attaching documents in broker management system.

  • Ensure all files have updated client information.

  • Maintain department CE credit history for each Broker and/or Advisor.

  • Ensure one HUB University Training Course is completed per quarter.

  • Schedule and monitor webinar meetings, and send meeting details to Manager, Brokers and/or Advisor’s calendar. Send reminder email to client 24 hours prior to meeting.

  • Other administrative and facility duties as assigned.

Skills and Requirements

  • High School Diploma or equivalent, post-secondary education is an asset.

  • Strong computer skills, especially with MS Excel.

  • Excellent communication skills both verbal and written.

  • Strong customer service and multitasking skills.

  • Professional and collaborative team player.

  • Strong organization and analytical skills.

  • Ability to work independently.

  • LLQP and/or Mutual Funds license an asset or required to be obtained in the first year of employment.
