Hub International Sales & Marketing Coordinator in Toronto, Ontario

HUB International has a dynamic Sales and Marketing Coordinator role based in our downtown Toronto office reporting to the Chief Sales Officer (CSO) and working closely with the Senior Marketing & Communications Manager and Strategic Resource Managers to support the Ontario & Atlantic Region. You will have the opportunity to:

Support the duties of the Chief Sales Office (CSO) Team:

  • Assist with organization of and attend monthly sales meetings:

  • Coordinate and participate in planning call

  • Compile monthly reports/data, as needed

  • Create slides and identify relevant videos, images, quotations, etc.

  • Manage logistics in the Toronto office such as setting up equipment, printing handouts etc.

  • Assist with planning and logistics for Ontario sales conferences as well other sales and training events including ordering marketing supplies etc.

  • Research, recommend and implement special projects and/or initiatives such as sales contests as required by the CSO or other members of the CSO Team.

  • Distribute referrals from the internal referral inbox.

Support the CSO with the following:

  • Reporting:

  • Prepare monthly Line of Business report on sales for Executive Management Team

  • Coordinate and compile monthly presidents report

  • Coordinate/keep apprised of calendar scheduling and travel itineraries for CSO ensuring he is on top of what is upcoming.

  • Coordinate internal and external meetings for the CSO including booking locations when needed, conference call logistics, preparation of agendas, presentations.

  • Support travel arrangements and expense account submissions for CSO, Vice President of Cross Sell and Senior Marketing & Communications Manager.

  • Other duties as required by CSO and VP Cross Sell.

Support Sales Enablement Activities:

  • Maintain up to date list of producer areas of focus.

  • Pull industry intelligence for Critical Path clients from D&B Hoover.

  • Coordinate development of sales materials for prospecting campaigns using approved templates. Collaborate with marketing on message and brand consistency.

  • Support on various prospect campaigns including creating sales materials, coordinating logistics and scrubbing / cleaning prospect lists for SRM

  • Support regional RFP activities including:

  • Monitoring daily RFP email for potential opportunities and distribute to appropriate producers.

  • Keep share library of regional RFP documents, responses, and templates to maximize efficiency across the CSO team.

  • Work with SRM’s to source data for RFP’s.

  • Assist with accessing RFP resources, editing responses and design as required.

  • Support Strategic Resource Managers (SRM’s) as requested.

Support Marketing & Communications Team with the following:

  • Deploy email sends from marketing automation platform, Act On, on behalf of account teams and Marketing & Communications

  • Handle requests from colleagues for marketing resources and content including logos, insights, and sales materials.

  • Maintain list of Subject Matter Experts across the region for brand building activities along with Bios and headshots.

  • Provide backup support for logistics for marketing campaigns and in person and online events including distributing promotional emails, day of logistics, ordering materials.

  • Support post execution activities for regional marketing campaigns and events including scrubbing attendee lists, distributing leads and tracking results.

  • Assist with distribution of swag and maintenance of inventory.

  • Assist with research and information gathering to support marketing strategy planning.

  • Process and track invoices related to Marcom Expense Requests.

  • Be an ambassador for the HUB brand.

Establish and maintain positive working relationships internally and externally to achieve the goals of the CSO Team and the organization.

Qualifications and Experience:

  • Post-Secondary Degree/Diploma in Business Administration, Project Management or related field

  • Minimum 2-3 years’ experience working in a corporate environment in an administration/coordination or sales and/or marketing support role dealing with people internally and externally, data analytics, event management, project management, RFP’s etc.

  • Prior experience supporting a sales or marketing team desired.

  • Intellectually curious, driven to learn, resourceful.

  • Advanced Proficiency in MS Office: Word, Excel (pivot tables, V-Lookup, graphs), PowerPoint, Outlook

  • Technically savvy - ability to quickly learn, use and train on various systems e.g. CRM, marketing automation platform, broker management system.

  • Strong interpersonal, verbal and written communication skills. Experience writing or editing RFP responses preferred.

  • Must excel in a multi-deadline, fast-paced environment; excellent organizational, prioritization skills

  • Ability to be proactive, flexible, anticipatory, and handle confidential material

  • Ability to work independently and in a collaborative team

  • Strong attention to detail

  • Experience with Adobe Creative Cloud applications is an asset.
