Administrative Assistant, EB&R - ContractToronto, ON

HUB International is looking for a strong Administrative Assistant to join our dynamic Employee Benefits and Retirement Practice in our downtown Toronto office. The successful candidate will provide high level administrative support to Employee Benefits & Retirement Producers. This role reports to the Vice President, Client Success, Employee Benefits & Retirement. Superior time-management, organizational and follow-up skills are essential for this position.

What You'll Do

  • Generate quotes with carrier system.

  • Follow up on unpaid invoices. Collection of payment information for new business.

  • EPIC- create and manage client profiles.

  • Monthly tracking and invoicing on renewal and new business

  • Generate and issue Certificates and Travel Authorization letters.

  • Gathers employee data and assist with marketing and renewal process.

  • Manage and maintain various calendars and schedules for Producers

  • Update, format and distribute correspondence

  • Process, input and update information into the CRM

  • Organize and schedule client meetings including preparing required materials and coordinating travel arrangements

  • File and retrieve corporate documents, records, and reports efficiently for team members

  • Maintain and organize expense reports

  • General office administrative duties as assigned

What You'll Need For Success

  • University Degree/ College Diploma and/or equivalent work experience

  • Minimum 2 years’ experience in an administrative support role

  • Demonstrated ability to prioritize tasks and independently manage multiple competing priorities

  • Strong organizational, time management and problem-solving skills with the ability to work under pressure

  • Solid computer proficiency and the ability to learn new systems i.e. EPIC broker management system

  • Advanced Proficiency in Microsoft Office: Word, Excel, and Outlook

  • Effective communication skills both verbal and written executed with a high level of confidentiality and professionalism

  • Proactive and client focused approach with strong initiative and follow up skills
