The Portal Onboarding Associate is responsible for managing all portal access control functions for all retail staff with a heavy emphasis on meeting targeted SLA’s for both onboarding and offboarding. This includes maintaining a Portal Documentation system and providing reports as needed.

This position will grow the portal access support model and manage the addition of new carriers as well as assist with M&A onboarding. This position is also responsible for understanding role-based security among the different carriers and auditing all existing user accounts. Building Carrier relationships and communication is key to the success of this role and to maintain control over the program.

Lastly the role is responsible to help improve our overall employee experience by confirming staff onboarding to ensure employees have the correct tools and access in place as well as managing bulletins and announcements in SharePoint.

The role works closely with the operations support team to ensure access controls are in place for all retail branches. While reporting to the Director of Operations Site Support the role is accountable to the retail Sales and Operations leadership for successful delivery.

A day in the life-

Depending on operational needs, responsibilities may include the following:

  • Access Provisioning and Management: Coordinate the setup and provisioning of access to insurance company portals for new hires. Ensure access privileges align with their roles and responsibilities. Conversely, promptly deactivate access for terminated employees to maintain security standards.

  • Documentation and Compliance: Maintain accurate records of portal access, user permissions, and relevant documentation for auditing purposes. Uphold compliance with company policies and regulatory requirements regarding access control and data security.

  • Troubleshooting and Support: Act as a point of contact for portal-related issues, providing troubleshooting assistance to users. Collaborate with IT support or insurance company representatives to resolve technical issues promptly.

  • Continuous Improvement: Identify opportunities for process optimization and automation in access management workflows. Implement best practices to enhance efficiency and security while managing portal access.

  • Stay Current: Maintain knowledge of all portal marketplace and continuous changes in standards

  • Collaboration and Communication: Update SharePoint with pertinent updates and announcements, improve the onboarding experience by confirming hardware and software and provide support to all business operations and ensure optimization of all access requests

  • Other duties and responsibilities as assigned and needed

What you will bring to our team-

  • Minimum 3 years of experience in a fast-paced office environment

  • Proficient in Microsoft Office: Outlook, Excel, Word and SharePoint

  • Strong professional communication skills (verbal & written)

  • Strong organizational skills with a keen eye for accuracy in maintaining records and managing access permissions.

  • Ability to work in a dynamic environment, managing multiple tasks while adhering to service levels and compliance standards

  • Understanding of data security principles and commitment to maintaining confidentiality and integrity in access management

  • Experience in Insurance industry knowledge considered an asset

  • Some college or university is an asset, but is not required

Salary Expectations –

The expected salary range for this position is $42,000.00 to $45,000.00 and will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope, and level.
